When you contact us

If you contact us by email, Instagram, Facebook, or text, we keep the information you provide in that conversation, such as your name or username, contact details, and message content. Social media platforms have their own privacy policies, and we do not control how they collect or use your information.

Website and device information

Like most websites, our website and hosting provider keep standard technical logs, such as IP address, browser type, pages requested, and the date and time of the visit. We use this information to keep the website running, fix problems, and block abuse, such as repeated checkout or sign-in attempts.

At the event

We may keep vendor attendance records, table assignments, incident reports when necessary, and photos or videos taken at the event.

3. How we use your information

  • Process vendor table bookings and payments
  • Assign tables and prepare the show map
  • Send booking confirmations, receipts, setup instructions, and parking directions
  • Send event updates and answer your questions
  • Promote the show, including vendor highlights and event photos on our website and social media
  • Prevent fraud, unauthorized purchases, and misuse of the website
  • Maintain a safe event and enforce event rules
  • Keep business, tax, and accounting records and comply with legal obligations

4. Vendor names on the public show map

When you book a table, your business name is shown on the public show map next to your table so shoppers can find you. Your contact name, email address, phone number, and notes stay private.

5. Cookies

Our website does not use advertising or analytics cookies. Staff sign-in uses one cookie that is required for the admin area. Stripe’s checkout page may set its own cookies to process payments and prevent fraud, under Stripe’s privacy policy.

6. Service providers we use

We use trusted companies to run the website and the booking process:

  • Stripe, for payment processing
  • Supabase, for secure storage of booking records
  • Resend, for sending confirmation emails
  • Google Workspace, for our business email
  • Our website hosting provider

These providers handle information only as needed to provide their services and under their own privacy policies. When you click a link to an outside website, such as Instagram or Google Maps, that website’s privacy policy applies.

7. How we share information

We do not sell your personal information. We share information only when needed:

  • With the service providers listed above
  • With event partners, such as mall management, security staff, and event staff, when relevant to your participation
  • With payment processors to complete purchases, process refunds, and handle disputes
  • When required by law, to protect our rights, prevent fraud, or keep vendors, attendees, staff, and the public safe
  • If the show or its business operations are transferred, reorganized, or sold

8. Photos, videos, and event media

We may photograph or record portions of the event for promotion, marketing, documentation, and social media. By attending, you understand that photography and video may occur in public areas of the mall and event space, and you may appear in the background.

To ask for a specific photo of yourself or your child to be removed from our website or social media, email info@finalevolutioncardshow.com. We will review reasonable removal requests, though we cannot remove content already shared, reposted, or downloaded by others.

9. Children's privacy

Our website and vendor booking are not intended for children under 13, and we do not knowingly collect personal information from children under 13 through our website. The event is family-friendly, so photos or videos may incidentally include children in public areas. Parents or guardians who believe their child’s information was submitted to us can email us to request deletion.

10. Data security

We protect personal information with secure payment processing through Stripe, encrypted connections, password-protected staff access, and access limited to the people who run the show. No website or online service can be guaranteed to be completely secure, so please avoid sending sensitive information, such as full card numbers, Social Security numbers, or passwords, by email or social media message.

11. Data retention

We keep personal information only as long as reasonably needed for the purposes in this policy, such as completing bookings, maintaining vendor records, planning future shows, keeping tax and accounting records, resolving disputes, and complying with legal obligations. Payment records may be kept longer for accounting, tax, and fraud-prevention purposes.

12. Your privacy choices

You can contact us to:

  • Confirm whether we have personal information about you
  • Get a copy of the information you submitted
  • Correct inaccurate information
  • Delete certain personal information
  • Stop promotional messages

Even if you opt out of promotional messages, we may still send booking confirmations, setup instructions, and other messages about tables you have booked. We may need to verify your identity before completing a request.

13. Texas privacy rights

If you are a Texas resident, you may have rights under the Texas Data Privacy and Security Act, depending on how the law applies to our business. These may include the right to confirm, access, correct, delete, or get a copy of your personal data, and to opt out of targeted advertising, sale of personal data, or certain profiling.

To make a request, email info@finalevolutioncardshow.com with “Texas Privacy Request” in the subject line. We will respond to valid requests as required by law.

14. Changes to this policy

We may update this Privacy Policy to reflect changes to our website, event operations, booking process, payment systems, or legal requirements. When we do, we will update the date at the top of this page.
